Privacy notice for your customers

Last updated: 16 September 2026 · This one is yours, not ours. When a customer books with you, you are the data controller and Bookancy only stores it for you. Copy the text below onto your own website or menu and replace everything in [brackets]. Your own copy, with your details already filled in, is in the dashboard under Settings → Legal.

Who is responsible

[Your business's legal name], [address], is responsible for the personal data you give us when you make a booking. Contact: [your e-mail address].

What we collect and why

  • Your name, phone number and e-mail address, how many people are coming and the date and time of your booking, so we can keep it for you and reach you about it (performance of a contract).
  • Anything you tell us about your visit (a need, an occasion, a preference), so we can prepare (your consent, given when you write it).
  • Whether you came, cancelled or did not show up, to run our business fairly (our legitimate interest).
  • Marketing messages only if you tick the box; you can unsubscribe at any time.

Who helps us

We use Bookancy, a booking platform run by [legal name to be confirmed] in Belgium, which stores bookings on our behalf under a data processing agreement. Data stays in the European Union and is not sold or used for advertising.

How long we keep it

Booking details are anonymised after our retention period of [24] months; statistics remain without your name.

Your rights

You can ask to see, correct or delete your data, or object to how we use it, by contacting [your e-mail address]. You can also complain to the Belgian Data Protection Authority (dataprotectionauthority.be).

A word of caution

This is a starting point written in plain language, not legal advice. Have your own advisor check it before you publish it, especially if you do anything with customer data beyond what is listed above. If something here does not match how you actually work, change it — an inaccurate notice is worse than none. Questions about the Bookancy side of it: privacy@bookancy.online.
